Importing References from UMDNJ Databases

Not Able to Import References from Another EndNote Library

Question: I am using EndNote X4 and try to import references from one EndNote library to another. However, I am not able to. A pop-up message says ‘A file associated with “File Attachments” field of reference is missing from the source database’.

Answer: When this message shows up, it means one of the references has a bad link in the File Attachments field, i.e. the fulltext file (pdf or doc, etc) is missing from the .data folder. To resolve this issue, you may open both the source library and the target library. Then copy the references from the source library and paste them in the target library batch by batch. If you come across the problematic reference in a batch, then either correct the reference by attaching the file/deleting the attachment or simply delete that reference if it is not important.

Installing EndNote X3 Import Filters

To speed up response times the latest version of EndNote does not include many of the filters needed to import references into EndNote X3 from several UMDNJ databases.  The UMDNJ Libraries have addressed this issue by putting together a package containing the missing filters for the relevant UMDNJ databases.  These filters need to be placed in EndNote X3 Filter’s folder before references can be imported from the affected databases.  Note that EndNote X1 and X2 are not affected. 

To download the package, go to the University Libraries’ EndNote Updates web page ( and click on the link labeled “Download the UMDNJ filter package” and save the package to your computer.   

 The filter package is downloaded to your computer as a “zip” file and needs to be extracted or “unzipped” after it is downloaded.  In Windows XP you extract the filters by right clicking on the “UMDfilters” folder that was downloaded to your compuer and selecting Extract All.  Follow the instructions to create a new “unzipped” “UMDfilters” folder that contains all of the Import filters. 

 Open the newly “unzipped” UMDfilters folder and highlight all the filters and move them to the “C:\Program Files\EndNote X3\Filters” folder.  In Windows XP you can do this by going to the Windows toolbar in the UMDfilters folder and using the Edit menu and Select All.  Once the filters are highlighted, go to the Edit menu again and select Move to Folder.  Navigate down to the “ProgramFiles/EndNote X3/Filters” folder and select Move.  The filters will be moved to this folder.  Once the filter has been saved to this location you will be able to import references from the relevant databases into EndNote X3.

Importing References from EBSCOHost CINAHL

References can be directly exported from EBSCOHost CINAHL to EndNote either individually on in groups.  To export multiple references save the references to the “Folder” EBSCOHost provides for printing/saving/emailing multiple references.  Note, when you log off CINAHL or close the browser window the references in the “Folder” will be deleted.  Click the Add to Folder link at the bottom of each reference or in the details pop-up window to save the reference to the Folder.  To add all the references from a search click the Add link located next to the Sort drop down menu located above and to the right of the list of references. 


To access the references in the Folder use the link on the right hand side of your screen labeled Go to: Folder View.  Either check the checkbox to the left of each reference to select it, or check the Select/Deselect All checkbox to select all the references in the Folder.  Once the appropriate references have been checked click the Export link/icon located above the first reference.  It’s the icon with the arrow pointing to the right.  If you are in the detail view for an individual reference the Export link/icon is also located above and to the right of the reference.  Using the Export link/Icon in the detailed view will export only the reference being viewed.   


On the next screen use the check box labeled Remove these items from folder after saving if you want to delete the references from the Folder after exporting them.  Make sure the Direct Export to EndNote, ProCite, or Reference Manager radio button is selected and click Save.


EndNote will launch automatically if it is not open.  References will be exported to the open EndNote Library, or if no Library is open you will be asked to select the Library you want your references sent to.
